Monitoring Your Managers: How to Prevent Unauthorized Changes to Your Profile
Too many "cooks in the kitchen" can lead to a suspended profile. Learn how to manage access and protect your digital assets.
The "Internal" Threat
We talk a lot about competitors and Google’s algorithms. But some of the most devastating GBP failures come from Inside the House. - An ex-employee who still has access "suggests" that the business is closed. - A low-cost SEO agency you fired 2 years ago changes your phone number to a tracking line they still own. - A well-meaning office manager "optimizes" your business name by adding 10 keywords and triggers an immediate GBP GBP suspension. Your Google Business Profile is a high-value asset. You wouldn't give the keys to your physical office to 20 different people, so why are there 20 "Managers" on your Google account?Understanding the Hierarchy of Access
Google provides three levels of access: 1. Primary Owner: This should be YOU (the business owner). You have the power to delete the listing and manage all other users. 2. Owner: Has almost all the same powers as the Primary Owner but cannot delete the listing. 3. Manager: Can edit the business info, post updates, and respond to review review generation. They cannot add or remove other users. The Golden Rule: Never give an agency "Owner" or "Primary Owner" access. They should only ever be "Managers."The "Email Domain" Trust Signal
Google tracks the reputation of the emails that manage a listing. - If your profile is managed by `john.doe@yourdomain.com`, it’s a "High Trust" signal. - If it’s managed by `sexy_plumber_69@gmail.com`, it’s a "Low Trust" signal. **The Strategy:** Only use professional, domain-based emails for management. If a manager’s personal Gmail account gets suspended for spamming elsewhere, your business profile could be "guilty by association." --- ## The Quarterly Access Audit Every 90 days, you should perform a "User Audit." 1. Log into your GBP dashboard. 2. Click on "Users." 3. Remove anyone who is no longer with the company. 4. Remove any old agencies or consultants. 5. Downgrade anyone who has "Owner" access but only needs "Manager" access. --- ## Beware the "Third-Party" App Trap Many tools (like social media schedulers or "Instant SEO" apps) ask for permission to manage your GBP. Every app you connect is a **Security Vulnerability**. - If that app’s database is hacked, the hacker has access to your Google listing. - Periodically check your "Connected Apps" in your Google Account settings and revoke access to anything you aren't actively using. --- ## How to Recover a "Hijacked" Account If an ex-employee or a shady agency has taken "Primary Ownership" and locked you out: 1. **Request Access**: Use the official Google "Request Ownership" tool. 2. **Wait 3 Days**: The current owner has 72 hours to respond. 3. **The Over-ride**: If they don't respond, Google will often give you a chance to verify your ownership via a utility bill and take the listing back. ## Our Management Security Protocol At Visibility Shifters, we take "Asset Protection" seriously. When we manage a client’s profile: - We use dedicated, secure agency accounts. - We implement 2-Factor Authentication (2FA) for all managers. - We provide a "User Registry" to the business owner so they always know who has access. **Your Google Profile is your digital storefront. Don't leave the doors unlocked.**Stop Guessing, Start Ranking
